Graphix Lab Follow-up Assistant is a private tool built for Graphix Lab, a window tint, paint protection, wrap and signage shop at 173 S Spruce Ave, South San Francisco. It helps the team keep up with customer email. It is not offered to anyone else.

What it accesses

With the account owner's permission, it reads the email in Graphix Lab's Gmail inbox, graphixlabsf@gmail.com, through Google's Gmail API. While it is being set up it reads a test inbox instead, stacygraphix@gmail.com. At first its access is read-only. Later, with a second permission from the owner, it can also create reply drafts and apply labels. It never sends email, deletes email or changes account settings.

How the information is used

Only to find customer inquiries that are waiting for a reply and promises the team has made, and to prepare a daily summary and reply drafts for the Graphix Lab team. A person at Graphix Lab reviews every draft before anything is sent. The information is not sold, rented or shared, and it is not used for advertising.

Where it is kept

On Graphix Lab's own computer at the shop, on an encrypted disk. Email text is read by an AI model that runs on that computer. Only if Graphix Lab turns it on, parts of the email text are also sent to OpenAI's ChatGPT under Graphix Lab's own ChatGPT account, for the same analysis and drafting.

How long

The working copy stays on that computer until Graphix Lab removes the assistant. Removing the assistant's access stops all further reading.

Google user data

The use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Removing access

Sign in to that Gmail account at myaccount.google.com/permissions, choose Graphix Lab Follow-up Assistant, and remove its access.
